Privacy Policy

Lovejoy High School Ice Hockey Club ("the Club," "we," "us") respects your privacy. This policy explains what information we collect through lovejoyicehockey.com, why we collect it, how it's stored and protected, and who can access it.

Information We Collect

The largest source of personal information on this site is the season registration form. When you register a player, we collect:

• Player information: legal and preferred name, date of birth, home address, mobile phone, email, high school, grade, graduation year, and USA Hockey confirmation number
• Hockey information: position, shooting/catching hand, experience level, and jersey preferences
• Parent/guardian information: name, relationship, address, mobile phone, email, and preferred contact method for one or two guardians
• Emergency and medical information: an emergency contact, allergies, medical conditions, and medications relevant to participation
• Signature information: depending on the signing method chosen, this may include a drawn signature image, a typed name with checkbox attestation, or an uploaded photo/scan of a signed document — along with the date, time, IP address, and browser/device information used to sign, similar to standard e-signature services

We also operate a payments page that displays a Zelle QR code. We do not collect or store any banking or card information ourselves — payments are handled entirely within your own banking app or the Zelle app.

How We Use Your Information

We use the information above to register your player for the season, administer team operations (rosters, jersey orders, emergency preparedness), confirm registration and payment by email, and route club business (e.g., custody or pickup restrictions) to the appropriate board member.

How Your Information Is Stored and Protected

Registration data is submitted over an encrypted (HTTPS) connection and stored in a Google Sheet and Google Drive folder within the Club's Google Workspace account. Google encrypts this data at rest. Access to the Sheet and Drive folder is restricted to authorized Club board members — it is not link-shareable or publicly accessible.

Who Has Access

Only current Club board members have access to registration data: the President, Treasurer, and other board members responsible for team administration. See our Contact section for the current board roster.

Third-Party Services We Use

A few outside services support this site and are worth being transparent about:

• Google (Sheets, Drive, Apps Script, Gmail) — stores registration data and sends confirmation emails, as described above
• Amazon Web Services — hosts this website
• ipify.org — a free IP address lookup service used only when you sign a document electronically (drawn or typed signature), so we can include an IP address in the signature's audit trail. This request only happens on the signing step and only sends a request for "what is my IP" — no other data is shared with it
• Elfsight — powers the Instagram feed embedded on our homepage
• Zelle — processes payments directly between your bank and ours; we never see your banking details

We do not sell, rent, or share your personal information with any third party for their own marketing purposes.

Children's Privacy

Many of our players are minors. Registration is completed by a parent or legal guardian, not directly by the child, and requires guardian signature for players under 18. We do not knowingly collect personal information directly from children without a parent or guardian's involvement.

Data Retention

We retain registration records for as long as reasonably necessary to administer Club operations and maintain historical rosters, or until you request that your information be removed. If you'd like your information corrected or deleted, contact us using the information below.

Your Choices

You can ask us to review, correct, or delete the information we hold about your player by emailing us. We'll respond as promptly as we can.

Changes to This Policy

We may update this policy from time to time as our practices or the tools we use change. The "Last updated" date at the top of this page reflects the most recent revision.
